Elections
We will be holding elections for the 2022 - 2023 Executive Board on March 20th! In order to run for a position, you must submit a letter of intent to [email protected] by Monday, March 13th at 11:59 PM. Your letter should be about a page long (give or take), and should express what position you are running for, why you are running for the position, why you think you are a good fit for the position, and what you hope to bring to the position.
Elections will follow the next week within the meeting on Monday, March 20th, starting at 8pm. If you submit a letter of intent, you will have to make a short speech (2 minutes if you are running opposed or 1 minute if you are running unopposed) during the meeting. More details on this process will be sent to you once you have submitted your letter.

● Responsible for overall club management and for overseeing all club officers
● Responsible for assisting club officers in completing their responsibilities ● Preside at all General Body and Executive Board meetings, creating an agenda for all meetings in advance ● Responsible for knowing and understanding the duties of all officers ● Hold weekly General Body meetings while school is in session ● Hold Executive Board meetings twice each month ● Complete the President’s Report Form each month before the deadline for each month in the service year, including when school is not in session ● Coordinate elections every March before April 1st, as April 1st represents the start of a new Circle K Service Year ● Responsible for making provisions for the training of new club officers in the Spring ● Keep in close contact with our sponsoring Kiwanis Club and the New York District of Circle K ● Responsible for ensuring that our club is represented at all of our Divisional Meetings and by at least two members at the annual district convention ● After the March elections, complete the Elections Report Form and submit it to the New York District of Circle K ● Maintain the Binghamton Circle K B-Engaged group profile by adding members, updating the list of officers, posting all events for approval by the Student Association ● Responsible for checking the Binghamton Circle K Student Association email account, answering anyone and reaching out to interested students, organization, or other individuals ● Responsible for sending out weekly emails to all members with important news, updates, and a list of upcoming service opportunities ● Reserve rooms for all events using our r25 reservation account; at the start of each academic year contact the university reservationist to set up our account for the year ● Abide by all Student Association policies, and ensure all club officers are familiar with those policies ● Foster excitement and enthusiasm within making members, helping to make the club a family and encouraging everyone to work as a team ● Work to recruit and retain members for our club ● Represent the club on campus and throughout the NY District of Circle K International |
● Work with the president to help oversee and maintain the club
● Responsible for creating directives for all Committee Chairs and working with them closely to ensure they are fulfilling their duties ● Assist all Committee Chairs in their duties ● Oversee all club task forces ● Provide guidance and help committee chairs to form committees, hold committee meetings ● Pick up all Circle K mail at the SA Office, and check our mailbox every week |

● Record attendance at all General Body, Executive Board, and Committee meetings
● Bring a sign-in sheet to all General Body meetings for members to sign in ● Record attendance for all club events, socials, and other projects ● Record service hour totals for each member, and from which event or project the service hours came from ● Take minutes at all General Body and Executive Board meetings ● Publish a copy of the General Body minutes for distribution to all members and to the public after each General Body meeting ● Distribute a copy of Executive Board minutes to all executive board members after each Executive Board meeting ● Update the clubs email campaign list with the emails of new or prospective members after each meeting ● Complete the New York District Circle K Monthly Report Form before the deadline for each month of the service year, including when school is not in session ● Responsible for the overall management and organization of club records, and to upload all information to our club database |

● Deposit all fundraised money ● Complete a fundraising supplement form after each fundraiser ● Process all Purchase Orders, Reimbursements, and other Vouchers ● Process donations after all charitable fundraising events ● Completing and passing the Treasurers Exam at the beginning of the Fall Semester ● Responsible for following all Binghamton Student Association guidelines and rules set forth in the Binghamton SA Treasurers Handbook ● Responsible for attending all budget hearings and completing all necessary forms to prepare for the next years budget |

● Create a monthly Newsletter, released at the beginning of each month, summarizing important news and events from the previous month
● Seek our article submission from all members, club officers, and other community members ● Responsible all club marketing, public relations, and advertising in collaboration with our recruitment and retention efforts |

● Upload all club minutes, newsletters, and other relevant documents to our club website ● Updating and maintaining our club Facebook Page, Facebook Group, Twitter Account, and Instagram Account ● Work with the Editor to advertise all events and market our club and our meetings ● Help spread the word about CKI and Binghamton Circle K online |
